P3Expeditor: Communications

P3Expeditor has a built in email communication system. This means that you can send messages to your suppliers (and clients) directly from P3Expeditor, which saves time and reduces errors. The system has several great time saving features:

• Automatic notifications– of all messages are also sent to your email account so you retain a complete communication record in your system.
• Pre-scripted messages– messages save time by putting the basic message and subject in place for each standard transaction.
• Always flexible– messages can be customized in the "my settings" area or edited as the message is sent.
• Immediate implementation– Uses standard e-mail and suppliers do not need to purchase anything.

P3Expeditor standard messages:

• Request for Quote– The RFQ email is sent "blind" to each supplier separately with your introductory note and the text of the job specs in the body of the email. A unique 'On-line Response' link is also included in the RFQ email, to facilitate the receipt of price quotes from your suppliers. For suppliers who do not use email, the RFQ document can also be printed and faxed
• RFQ reminder– A favorite of many customers, this convenient reminder function is available, with a click of your mouse, to encourage tardy suppliers to send in their prices.
• Job Award– Once you have determined who will get your print project, a simple 'Job Award' notice can be sent to the winner to let them know that they will be getting the job.
• Offer Declined– Another customer favorite, this message can be generated when the job award goes out, to thank the other suppliers for their quotes and let them know the final disposition of the job. This little feature can save tons of phone calls and is a courtesy to your suppliers.
• Job Work Order– A core transaction, the job work order carries the final job specs, final quantity, final price, purchase order number and production instructions.
• Bidding reports– Information on quotes received on your jobs can be forwarded by email directly to your internal customers or other interested parties.
• Client Proposals– For print resellers, the P3Expeditor proposal builder can create and email a proposal directly to your customer - automating both the supplier and customer interactions.
• Purchase Orders– create and send P.O.'s to your suppliers.

Email, Fax or Print - the choice is yours
The primary means of communication is email as it is now used by most members of the Graphic arts community. However, all documents can also be printed for hand delivery or faxing purposes. Our RFQ and Order forms print out in a fax ready format.
