On April 10 2011 Ball Media Corporation, after 17 years in business, suffered a tragic fire that gutted our production and printing facility. To keep in business we knew we had to outsource production, at least temporarily. I searched everywhere for a system to do this efficiently, without disrupting our business or alarming our clients. When I found P3Expeditor, I was a more than shocked. It worked, and it looked as though they had developed it just for us. We started to use it immediately.

P3Software is a company who's ownership and staff have truly walked the walk and understand the need for an efficient time saving yet detailed print management system that's not tied to an expensive and one dimensional Printing workflow. The amount of steps it eliminates from each job is tremendous; from client quote to job creation, tendering, analysis and even invoicing, payment and historical performance reporting and job tracking P3Expeditor cuts steps at every point.

We have done some restructuring and merging as far as capacity goes. P3Expeditor made our decision to not re-purchase printing equipment easy. In fact, today, 9 months away from the fire some clients are surprised to find out we even had one. They say "you guys actually seem more efficient and organized?". We owe that to P3Software and their staff.

The biggest benefit of using P3Expeditor is that it saves me enormous amounts of time. I can send RFQs to multiple vendors at once, I can see who has responded with the click of a button, and all of my jobs and specs are stored so I can look them up with a few clicks. This helps a lot when I need to reorder or only make a few changes. I rarely forget to include specs in my RFQs because I'm able to store such detailed information.

"The P3Expeditor System has been a huge time saver for me. I am in charge of purchasing approximately $3,000,000 in print a year. " In my University it is mandatory policy that all external print is purchased through my department. We have been working with P3Expeditor for over 6 years. This is an extremely simple and inexpensive print specific software solution for print buyers. We have found the product to be easy to use and the company has been very responsive to our comments/suggestions implementing aspects of these in successive upgrades.

Vendors click on the e-mail link to respond to your RFQ with a price, questions, or a No Bid response. The software lets you analyse the bids and then award through e-mail. The solution is fast and efficient and, unlike some other other e-commerce solutions, our print suppliers are not required to pay for or even use P3Expeditor themselves.

The most valuable aspect for us however is the audit trail that it provides for competitive bids. Some years ago our internal auditors asked us to describe our print buying process and demonstrate that we were achieving best value for money.
